HR Platform New Release? Here is how we ensure Adoption!
In a World in constant change, it can be challenging to keep up with the technologies. All cloud platforms, including HR ones, are constantly updated to provide a more exciting user experience and more comprehensive process management features. This constant change certainly brings benefits, but, at the same time, it is necessary that all actors involved, such as end users, administrators, managers, facilitators, help desk officers etc. are properly engaged, informed and, yes! trained to understand all new platform functionalities and be ready to adopt and embrace the new tools.
For several years we have been designing and implementing the training and communication plans related to the rollout of new cloud Systems or their periodic upgrades, ensuring that all involved users are adequately trained and informed so that they can continue to use the platform at their best. SAP and other mayor vendors are aligning their upgrade cycles to a once-a-year occurrence, and we think this is the perfect balance between the need to minimize business processes disruption and the drive towards innovation. For this reason, our training and communication projects recur annually, and it takes about a quarter of a year.
This is only a small part of a larger project that includes several steps.
The training and communication project has several phases, which could be summarized as follows:

Meeting with Platform Certified SME
At this stage we are introduced by the Vendor to all the new features and, together with the client, we decide which ones are relevant and beneficial for stakeholders’ community and need to be adopted as part of the yearly release cycle.

Analysis of the functionalities
We analyze each feature in-depth, and we identify the actors that will be impacted by these changes.

Draft of the Communication and Training outline
The learning team categorizes all features, according to possible content types, target users, technologies to be used, and much more.

Content storyboard/s
This is a fundamental phase. Depending on the different knowledge or skill objective, we define the media to be used to convey the message, and how the user will interact with the different supporting materials.

Validation of the storyboard/s
the whole team reviews the storyboard/s and gives a final ok for the creation of the contents.

Content creation
We move to the actual creation of content on the chosen technology: e-learning structured content objects, assessments, knowledge articles, guided tours, showme videos. The most appropriate environments are used to create the content: authoring tool, digital adoption platform, collaboration environments.

Content review and functional testing
The training team reviews content before publication.

Publication to target users
Content can finally be available for end-users according to the plan. Formal training materials are distributed ahead of the go-live, other supporting media are published at go live.
As you can see, ensuring a smooth landing for a new HR Platform or a new Release requires thoughtful planning and a lot of care. Attention to details is crucial!
And even after the post go live, we keep monitoring the ongoing support service of the HR system, to catch any indication of contents that need reinforcement or improvement. Sometimes we need to adjust some small details or instructions. Not everything can be foreseen!
